Why we use data

We use data to save your search, select listings, deliver notifications and answer enquiries. Processing needed to provide the requested service is based on the service agreement or steps taken at your request (Article 6(1)(b) GDPR). Website operation, abuse prevention and fault diagnosis rely on our legitimate interest in a reliable service (Article 6(1)(f)). Where a separate function requires consent, it is requested separately and can be withdrawn.

Visiting this website

Loading pages technically transmits your IP address, request time, page address and browser information. These support website delivery, security and diagnosis. We do not integrate advertising pixels or our own visitor analytics. Fonts and scripts are served from the website. Website delivery infrastructure uses necessary security cookies to protect against automated abuse. They do not serve advertising tracking; the current protection cookie expires after 30 minutes of inactivity. Your motion preference is stored locally in your browser until changed or the site’s stored browser data is cleared.

Using the bot

Mietway receives your Telegram ID, available name and username, language, messages and search preferences: budget, rooms, floor area, districts and additional filters. If you use WBS settings, we store the status and type you specify, validity date, household size and related floor-area or room limits. If you select a Jobcenter reference, we store the selected search budget limit. These optional settings are stored in your search profile and used to match listings; they can reveal information about your financial circumstances. Mietway does not verify benefit eligibility or approve rental costs. Notification preferences, quiet hours, pauses, listing processing and delivery history are also stored. Searching does not require passports, bank details or medical documents; please do not send them to support. An optional profile for drafting an enquiry may contain your name, contact details, address, intended move, household, employment, income and document availability. Check these details yourself before using the draft.

Where data is processed

Bot account data, search profiles and backups are processed and stored in operator-managed infrastructure in Hamburg, Germany. This refers to Mietway’s own system. Website delivery, email and Telegram use separate technical infrastructure; their processing is described below.

Access requests and support

The “Request access” button opens the administrator’s private Telegram chat. You send the message; simply opening this website does not submit a request or profile. Vadym Pohorilyi handles enquiries to hello@mietway.com, support@mietway.com and the official access chat. Contact information and message content are used to provide access, reply and resolve the issue. Email is delivered by a technical email provider.

Who can access data

The operator and technical providers for hosting and website delivery, email and communication services have access as necessary for the relevant function. Our own storage infrastructure is in Germany; email is provided by a European supplier. Telegram processes messages as an independent service under its own policy. Opening a listing takes you to an independent platform. You choose which information to share with the landlord when contacting them on that platform. Information about specific recipients is available in response to a request about your data.

International infrastructure

Website and message delivery use international infrastructure; processing may take place outside the European Economic Area, including the United States. Mietway’s own bot data and backups are in Hamburg. Website hosting is governed by the provider’s data-processing terms; for transfers from the EEA, these provide for European Commission Standard Contractual Clauses or an applicable adequacy decision. You can request recipient information and a copy of the applicable safeguards at hello@mietway.com. Telegram’s independent processing is governed by its policy.

Retention and deletion

Account, profile and delivery history are kept while needed for an ongoing search and to preserve your settings. After 12 months without recorded activity and with no active search, the need for retention is reviewed and unnecessary data is deleted. Following a verified request, deletion from the active system is arranged within 14 calendar days; lawful exceptions are explained separately. Ordinary support correspondence is kept for up to 180 days after the enquiry is resolved. Diagnostic-log retention depends on the need to investigate a fault, protect the service or meet a legal obligation. Backups are retained for recovery; reviews consider their creation date, recovery needs and unresolved incidents. They are not used for ordinary processing of deleted accounts; completed deletion requests are reapplied after restoration. External hosting and communication services set their processing periods under the applicable terms. Pausing a search or blocking the bot does not itself delete your profile.

Listing selection

Selection rules compare listing characteristics with your preferences, which you can change. Mietway does not make landlords’ decisions about housing allocation, rental contracts or applications. A recommended listing does not mean a landlord has accepted an application. Without necessary preferences, the requested search may not work. The planned AI Assistant is not connected to user data.

Future AI features

Mietway AI Assistant is in development and does not currently receive user data, including WBS and Jobcenter preferences. Before launch, the purposes, data, recipients and processing grounds will be disclosed. Analysis is planned only for information you provide for the chosen task, with any required consent. You review the draft and send it to the landlord yourself. Assistant recommendations are not housing allocation decisions.

Your rights and contact

To request access to your personal data, correction, deletion or restriction of processing, email hello@mietway.com. Where the GDPR provides them, you have rights to portability, objection to processing based on legitimate interests and withdrawal of consent without affecting earlier lawful processing. You may complain to an authority where you live, work or where an alleged infringement occurred; the Hamburg authority is the Hamburgischer Beauftragter für Datenschutz und Informationsfreiheit (HmbBfDI). Material changes to purposes, recipients or processing rules are communicated before they take effect. We respond to rights requests within the GDPR deadline, normally one month.
